How to write a useful SOP

  1. Start with the outcome. Define what successful completion looks like before writing steps.
  2. Write for the actual operator. Use the language, tools, and decision points the person doing the work really uses.
  3. Separate actions from judgment. Make routine steps explicit and identify where human judgment or approval is required.
  4. Add a quality gate. Explain how to verify the result before the process is considered complete.
  5. Test it with someone else. If another person cannot complete the process from the SOP, the SOP is not finished.

Example: New customer intake

Purpose: Create a complete customer record and make sure the next responsible person has everything needed to act.

Trigger: A new customer submits a form, calls, or is entered manually.

  1. Create the customer record in the approved system.
  2. Confirm name, email, phone number, service address, and requested service.
  3. Check for an existing duplicate record.
  4. Assign the correct owner or team.
  5. Send the approved confirmation message.
  6. Confirm the next action and due date are recorded.

Quality check: No required field is blank, no duplicate record exists, and an owner plus next action are assigned.
