AI Prompts for Documenting a Business Process
Five prompt patterns for discovering a process, identifying exceptions, clarifying ownership, and checking whether the final SOP is actually usable.
1. Process discovery prompt
Ask the AI to interview you in small batches about the outcome, trigger, inputs, roles, numbered steps, decision points, exceptions, quality checks, completion criteria, and records. Tell it not to draft until the process is sufficiently understood.
2. Missing-information prompt
Give the model your current notes and ask it to identify everything that is required to execute the process but is missing, ambiguous, contradictory, or dependent on undocumented judgment. Require it to label unknowns instead of guessing.
3. Edge-case prompt
Ask the model to act like a skeptical operator. Have it look for system outages, incomplete inputs, duplicate records, unavailable approvers, customer exceptions, failed handoffs, and other situations that break the “happy path.”
4. Ownership prompt
Ask the AI to list every action, decision, approval, escalation, and handoff that lacks a clearly named owner or role. Unclear ownership is one of the fastest ways for a procedure to fail in real use.
5. Usability QA prompt
Ask the model to score the draft for clarity, ownership, trigger, inputs, step completeness, decision points, exceptions, controls, completion criteria, and unresolved facts. Require a failure when critical unknowns remain.
A guardrail worth repeating
Add this instruction to every prompt: Do not invent company policy, approval authority, permissions, thresholds, safety requirements, or operational facts. Mark missing information for verification and keep conflicts visible.
